Description
Overseas Study and Scholarship Program (OSSP), which is part of the Office of the Vice President for Diversity, Equity and Inclusion (OVPDEI) Department. OSSP provides study abroad support to students by hosting study abroad events, administering study abroad scholarships, and running short-term study abroad programs. The OSSP strives to provide greater access to study abroad opportunities so that students can explore new cultures, gain insight into the global community, and make memories that last a lifetime. In collaboration with IU academic departments and IU Education Abroad, OVPDEI has created programs tailored to meet the academic interests of students and fulfill the mission of the office. OSSP provides access and funding to study abroad opportunities that help students discover intercultural competencies, gain insights into the global community, and build lifelong friendships. Responsibilities
Primary Role:
The Program Assistant EARN Indiana Internship for the Overseas Studies and Scholarship Program is responsible for carrying out assisting with study abroad event facilitation, study abroad program application, scholarship application intake, student onboarding process, visa and travel arrangements, social media, provide project management, assessment, and evaluation within the areas of project development, peer development and other duties as assigned. Supervision will be provided by Director and Team members. There will be opportunities to meet with and receive training by other university administrators, faculty, and staff to further develop skills as projects dictate.
Learning Objectives:
Learn the key steps involved in planning and executing successful study abroad events (information sessions, panels, fairs).
Gain experience in logistical coordination for informational events, including securing space, arranging catering, and managing audio/visual needs.
Develop marketing skills through promoting study abroad events via social media, flyers, and student organization outreach.
Assist in running events by registering attendees, welcoming participants, and facilitating information flow.
Understand the scholarship and study abroad program application process at Indiana University Bloomington.
Gain experience in data entry and managing application materials electronically.
Develop effective communication skills to answer basic student inquiries about scholarships and programs.
Essential Duties/Responsibilities May Include:
Assist with planning, logistics, marketing, and running study abroad events such as information sessions, panels, photo contests, and study abroad fair
Assist with scholarship and study abroad program application processing
Assist with student visa processing and travel arrangements for special programs
Attends study abroad custom courses and takes notes (if necessary)
Advice/educate students about OVPDEI study abroad scholarships and programs
Assist with OVPDEI OSSP Social media accounts
Assist with the assessment and evaluation of programs
Follow FERPA policy and confidentiality
Other duties assigned by less than 25% are considered clerical in pursuit of the above responsibilities.
Qualifications
Minimum Education:
Intern must be a full-time IUB undergraduate student during the 2024-2025 academic term, which may include summer. Must maintain a 2.5 minimum semester and cumulative GPA for the duration of their service. Be an Indiana resident.
Minimum Experience:
Demonstrated experience with coursework, programming, planning, and social media experience. Students who studied/traveled abroad are preferable. Student in good academic and behavioral standing.>
Knowledge, skills, and abilities:
Self-motivated, organized, and responsible
Able to work in a close team environment as well as independently
Ability to work comfortably and communicate effectively with people from diverse backgrounds
Possess interest in event planning and marketing
Knowledge of common office computer software applications, including Microsoft Word and Excel
Possess good problem-solving and decision-making skills
Possess attention to detail, time management skills
Maintain confidentiality when working with confidential data
Possess strong organizational, written, and verbal communication skills and a professional demeanor.
Expectations:
Expected to arrive promptly at scheduled shift
Must follow all office and University policies and protocols
Maintain a maximum of and no more than 15 work hours per week
Employee performance is evaluated on a semester basis to determine if they are meeting the goals
Any employee found responsible for academic or personal misconduct resulting in probationary status with the university will be removed from this role immediately
