Description

We are looking for a detail-oriented and proactive individual to provide strategic, hands-on support to our recruitment team. This role is part-time and 100% in-office on Mondays, Wednesdays, and Fridays during standard business hours (8:00am–5:00pm). It’s an ideal position for someone who thrives in a fast-paced, collaborative environment, is highly organized, and enjoys both operational coordination and occasional hands-on tasks such as managing errands or assembling client and team gifts.

The Recruitment Operations & Strategic Support Specialist will play a key role in ensuring smooth day-to-day functioning of the recruitment process by assisting with candidate outreach materials, team logistics, and office resource management. This role will also grow to include drafting job descriptions, compiling candidate profiles, and helping to shape an efficient and people-centered recruitment experience.

Responsibilities

  • Provide proactive operational and logistical support to the recruitment team, ensuring efficiency and follow-through on time-sensitive tasks.
  • Coordinate the tracking and replenishment of office supplies, ensuring smooth office operations.
  • Manage the preparation and distribution of thoughtful client and employee gifts, including sourcing, organizing, and delivery coordination.
  • Run occasional errands to support team and office needs.
  • Collect and analyze data for recruitment and team reports, ensuring accuracy and timely delivery.
  • Assist in drafting job descriptions and candidate summaries, contributing to a clear and compelling talent acquisition process.
  • Maintain organized digital files, recruitment documents, and process tracking tools.
  • Support additional recruitment-related initiatives and team operations as needed.

Qualifications

  • Prior experience in a coordination, operations, or team support role—ideally within HR, talent acquisition, or a related field.
  • Exceptional organizational skills and the ability to prioritize in a fast-moving environment.
  • Strong proficiency in Microsoft Office (Excel, Word, Outlook) and comfort working with data and documentation.
  • Excellent communication skills, both written and verbal.
  • Self-starter with the ability to work independently and proactively problem-solve.
  • Reliable transportation and willingness to complete occasional in-person errands.

Preferred Experience:

  • Previous experience in recruitment, HR support, or candidate coordination.
  • Ability to draft job descriptions and articulate candidate highlights effectively.
  • Familiarity with Applicant Tracking Systems (ATS) or recruitment platforms is a plus.
